Edit, clone or delete a meeting

Modified on Fri, 30 Oct at 4:37 PM

After you create a meeting, you can still change it, copy it to save time, or delete it. This article shows you how, and what board members can see.

✋ Who can do what

  • Administrators of the Board Portal group edit, clone and delete meetings.
  • Board members view meetings but cannot change them. They can open all current meetings of their group, even those they were not invited to.

✍ Administrators: edit a meeting

  1. In the menu on the left, click Meetings.

  1. Click Published or Unpublished, depending on where your meeting is. Unpublished meetings are meetings that board members cannot see yet.
  2. On the card of your meeting, click See Agenda. The meeting page opens.

  1. Change what you need: title, date, time, location, or the agenda items and their content. Your changes are saved automatically. You do not need to click a save button.

You can keep editing a meeting even after it is published. From the same page, you can also download the attached documents, print the agenda and generate the meeting bundle.

⛵ Administrators: clone a meeting

Cloning creates a copy of an existing meeting. It is useful for recurring meetings, so you do not have to rebuild the agenda each time.

  1. On the Meetings page, find the meeting to copy.
  2. Click the three dots next to the meeting title, then click Clone.

  1. Enter the title, start date and start time of the new meeting.

  1. If you want, tick the content to copy from the original meeting, such as documents, surveys or votes.
  2. Click Confirm. The copy is created. You can edit it like any other meeting.

The copy keeps the same invited members as the original. To invite other people, notify them from the new meeting.

❌ Administrators: delete a meeting

  1. On the Meetings page, move your mouse over the card of the meeting. A list of actions appears.
  2. Click the bin icon, Delete.

  1. A confirmation message appears. To tell users that the meeting is cancelled, tick the box to send them a cancellation.

  1. Click Confirm. The meeting is deleted.

Users who were already notified of the meeting automatically receive a cancellation email.

☝ Board members: view meetings

  1. In the menu on the left, click Meetings.
  2. On the card of a meeting, click See Agenda to open it.

You see published meetings only. If a meeting is changed, you see the latest version. If it is deleted after you were notified, you receive a cancellation email.
