How to draft a contract with Word ?

It is possible to write a contract on DiliTrust from Word, from contract templates that you will have created and configured beforehand and that will then be available to your users to create a new contract.

⚠️ To be able to write a contract from a template, the concerned user must have access to the concerned module. The Role must indeed allow him to at least view the contract templates. If he has editing rights on the contract templates, he will also be able to modify them.

You have already created your contract outside DiliTrust (in Word or equivalent) and do not need to write it in DiliTrust ? Simply upload it to DiliTrust to complete the next steps of validation and signature. >> To learn more, consult the dedicated article.

 

Click on Draft from template

You can write a new contract from the home page or from the Contract Template section.

From the home page:

  • Click on "Draft from a template" at the top left of your screen



From the contract template tab

Select the template from which you want to create your contract:

  • Select the type of document
  • Choose the template
  • Click on the three small dots to the right of the template
  • Select Create a new contract.

In both cases, fill in the following information:

  • Indicate a title for your document.
  • Select the type of document corresponding to the contract you wish to create. You will be able to select this type from those for which one or more contract templates are available.
  • Select the template you wish to use to write your contract.
  • Finally, indicate in which folder to save the contract
  • In order to proceed to the next step, you must first select the folder in which the contract will be placed.

Finally, click on Next.

Complete the information in the generation form

In the next step, fill in the information that will be used to auto-complete your contract with this information from the chosen template:

  • Complete all the fields on the form by filling them in according to the information requested
    ⚠️ The document can only be generated if all the variable fields are correctly filled in.
    The expected information is generally:
    • Related to the contracting parties: Corporate name of the different entities, Siren number, Legal representative, etc.
    • Related to the execution modalities of the contract: Contract amount, Contract duration, etc.
  • Click on Next

Once these steps are completed, create your document.

Edit and finish the contract

Your contract is then generated, and you move on to the contract edition stage, which will allow you to finalize it before validating it and signing it. To do so:

  • Click on the Word button at the top right of your document;
  • Choose between Word Online and Word Desktop

Depending on your choice, this will prompt you to open Word Desktop or a page will open with your contract in Word Online.

Note that you must remain logged into DiliTrust for changes to your document to take effect.

Once Word is open, find the summary sheet on your right and the contract in question on your left. Between the blue tags, view the information previously filled out in the forms completed when the contract was generated, which you will also find in the summary sheet.

To change the information present between brackets, look for the attribute in the summary sheet and, make the changes directly from the summary sheet.

To modify any other information in the document, like any word processing tool, enter, complete or delete it in the document.

Add clauses by selecting them in the dedicated tab at the top right of the summary form. You will then find the list of clause types present in your clause library.

To add a clause to your document:

  • Place your cursor in the document where you want to insert this clause.
  • Select a clause type from the list
  • Choose the clause you wish to insert
  • Click on Insert

The search bar allows you to quickly find the clause of your choice.

 

As Word is a collaborative word processing tool, several people can work on the document. To track the changes made by the different people who have access to the document, activate the track changes. You will be able to view the changes directly from DiliTrust in yellow.

Once you are done with your document, don't forget to save your progress. Go back to DiliTrust and refresh the document, by clicking on the dedicated button.

To ensure that your document is properly saved, close your Word pages before refreshing the page.
Note that the refresh button appears when you are editing.

Finally, to proceed to the next steps of validation and signature of the created contract, click on Validate and sign.

You will then be asked to :

  • Fill in the summary form with any missing information.
