How to complete the summary sheet?

To complete the summary sheet, you must label the information expected in your contracts. To learn more about what the summary sheet is and its usefulness, see the dedicated article.

 

You will be invited to complete the summary sheet after uploading a document on DiliTrust (see the dedicated article) and after indicating the type of document in question (see the dedicated article).


The AI will capture the key information of the contract and will display them in your contract in orange. Once a suggestion is validated, this key information will turn green.

On DiliTrust, you can label your contract information to add it to your summary sheet in 2 different ways.

To facilitate your use, for each field of the summary sheet, the good practice is to apply Method 1 in priority and switch to Method 2 in case the AI does not make any suggestion.


 

Method 1: confirm an AI suggestion from the summary sheet

The suggestions are displayed by item in the summary sheet in the form of a list of one or more suggestions.

In the example below, the AI suggests for the Siren number of the contract entity a number captured in the contract (cf. SIREN number on the right in the 2nd paragraph of the naming block of the parties). This suggestion is made on the basis of the context and other contract information.


 



In order to validate a suggestion among those suggested, you must click on the small robot and select the right suggestion.

In our example, you just have to click in the summary sheet on the left on the proposed SIREN number, as shown below.

The information in your contract will therefore change from orange (color of information suggested by the AI) to green (color of validated information).

 



To easily view the information in your document, use the magnifying glass, which will direct you to the concerned field in your contract.

In the example below, by clicking on the magnifying glass, you will see in your contract the place where the signature date of the contract suggested by the AI was found in order to validate or not this suggestion.

 

 


And in the same way, click on the date you want to validate and to add it into your summary sheet. 

 

Method 2: label undetected information

If the information you need has not been identified by the AI, you can select this information directly in the body of your contract to add it to your summary sheet.


In the example below, the AI didn't make any suggestions for the Counterparty Siren, so you will have to:

  • Find out where the information is in the document;
  • Select the information concerned within the contract by highlighting the desired Siren number (click on the desired text);
  • Indicate to which field of the summary sheet this information is attached to. In the example, you search for "Siren" and you select the "Siren - Counterparty" field because it is the Siren of the contract counterparty;
  • The information is automatically added to your summary sheet and turns green as validated information.



 

⚠️ You should not complete the field directly in the summary sheet, but rather to look for the information in your contract and to label it as shown above.
Indeed, in this example, you can also manually enter the SIREN number directly in the summary sheet, without attaching it to any information in your contract. But by doing so, the AI will not capture where the information is in your contract and will not be able to improve its suggestions regarding the completeness of this field.

 

Label clauses in your contracts

To label clauses, the method is identical:

  • Validate AI suggestions; or
  • Label the clauses directly in the contract.

Monitoring and finalization of the completeness of the summary sheet

When you complete the summary sheet, the added information is saved automatically as you make changes.

At the end of your summary sheet, follow the completeness of it according to the fields you have completed:

  • Via a percentage of completeness: this percentage is calculated according to the fields completed / total number of fields;
  • Via the number of mandatory fields remaining to be filled in: the number of mandatory fields completed vs the number to be filled in is shown. Indeed, certain fields of your summary sheet are mandatory to fill in.



Finally, when you complete the expected fields, you can "Complete summary", in order to indicate that its completeness is finalized.

It is not necessary to reach 100% completeness to Complete summary, but you have to complete all the mandatory fields.


Completing and validating your summary sheet has allows to:

  • Have a rich and pertinent database
  • Facilitate any advanced search
  • Create statistics from the documents information
  • Ensure that your contract's status is up-to-date
  • Go to the Workflow step and therefore send the document for validation / signature.
  • Monitor completed forms VS those still to be completed or in the process of being completed.

 

Other actions

In addition, in order to adjust the information added to your summary sheet, other actions are available:

  • Edit the information suggested by the AI: Click edit to access the editing mode of your summary sheet. Once in that mode, modify any information before completing your summary sheet once again.
