How to transfer the access and rights from one user to another?

Transferring access and permissions allows you to:

  • In case of absence, delegate your access and actions to another user (alarms, workflow, access to documents, etc.)
  • For administrators, to permanently delegate the rights of a user who leaves the company.

In this article, you will see:

The objective of this delegation of access and permissions is to prevent a workflow from being blocked in the event of a user's absence, not to miss any deadline by transferring alarms from one absent user to another, and finally access the documents to which the absent user has access in order to carry out the necessary actions.

 

How to access the transfer of your access and permissions?

The user who is absent can give access to all or part of the actions that he manages to another user during his absence.

An administrator can decide to transfer the actions and permissions of another user, in the event that the latter leaves the company permanently.

 

The configuration of a delegation is available by clicking on your user icon:

How to access the transfer of access and permissions for another user?

The possibility of transferring the access rights and permissions of another user is only available for administrators.

To transfer the rights of another user:

  • Go to the Settings section, then to the Users section;
  • Click on the transfer button at the top right
  • Enter the names of the person whose rights are being transferred and the user who will be receiving them

How to configure this transfer?

When configuring the delegation, in both cases, you will be asked to select:

  • The user to whom you wish to delegate the rights during your absence from the list of users of the platform;
  • The period during which the delegation will be active;
  • The access rightsyou want to transfer can be finely configured:
    • Roles: The user will inherit the same rights as the original owner:
    • Users: The user will have access to all files and documents of the original owner with the same levels of rights.
    • Recall Notifications: The user will also receive all recalls notifications to the original owner.
    • Predefined workflow: The user will replace the validation and signature of the original owner in the next predefined workflows that will be launched.

Once you've chosen the different rights to transfer to another user, confirm your choices.

Once the transfer has started, you will find an arrow next to the user whose rights were transferred.

To edit, cancel or have a look at the rights transferred, click on the arrow. From then, you can either edit the transfer and confirm the changes or click on the cancel button to end it.
