My workflow is blocked because a validator/signatory is missing. What can I do?

Workflows constrain your users in order to secure your contract validation and/or signature circuits.

But what if a validator/signatory is absent? 


The best thing to do is to anticipate the user's absence by setting up a transfer of ownership to another user in his/her absence.


If the workflow is already running, you'll need to cancel it and restart it.

In short, these are the actions you need to take:


Transfer a user's rights to replace him/her in workflows


Before an employee leaves, it is possible to delegate his or her rights to another user. It is also possible for an administrator to do this for all users from Settings / Users.


The user chosen as the replacement will then receive validations/signatures in place of the absent user for the duration of the absence.

⚠️ The transfer does not apply to workflows started before the transfer start date. It is therefore important that the validator/signatory is up to date with his/her validations/signatures before departure. If this is not the case, you will have to cancel the processes in progress and restart them to unblock the workflows concerned during the employee's absence. 



Cancel and restart workflow


In order to secure workflows launched from the module, it is no longer possible to modify a workflow once it has been launched, nor to delete a validation/signature step.


To unblock a workflow in the event of a user's absence, you will need to : 


  • Open the document concerned,
  • Go to the "Workflow" section to view the current workflow,
  • Click on Cancel process,
  • Finally, restart the workflow.



Before restarting, remember to transfer the rights of the validator/signatory to another user.


Please note :


  • If the document is in the validation phase, cancelling / restarting the process will restart it from the beginning. Users who have already validated will have to validate the document again.
  • If the document is in the signature phase, cancelling/restarting the process will restart the document as a signature, but the validation phase will be retained.
