Board Portal - Time Your Agenda Items

Time slots help your board or committee meetings run on schedule. You give each agenda item a start and end time, and the slots update automatically when you change the order of the items.

✋ Who can do what

• Meeting organizers (for example corporate secretaries and executive assistants) set time slots and reorder agenda items.
• Chairs, board members and participants see the time allocated to each item during the meeting. Chairs use it to manage the flow of discussions.

⏰ Meeting organizers: set time slots

1. Open your meeting in Board Portal.
2. Go to the Agenda section.
3. On an agenda item, click the time slot field.
4. Enter the start time and the end time. The duration is calculated and displayed automatically.
5. If the item already has a free-text clock value, a message asks whether you want to replace it. Choose whether to replace it.

Change the order of agenda items

1. Drag and drop an agenda item to its new position.
2. The time slots are recalculated automatically to match the new order. You have nothing else to update.

⌚ Chairs, board members and participants: follow the time during the meeting

The steps are the same for everyone attending. The time slot is shown on each agenda item during the meeting. Use it to see how much time is planned for each topic. The chair can use it to keep the discussion on schedule.

◻ Limitations

• Existing free-text clock values are not moved to the new time slot field automatically. They stay as they are until you update them.
• Time slots are recalculated when items are reordered, but breaks and variable session lengths are not taken into account yet.

❓ FAQ

Will my existing clock values be deleted?

No. They are kept. When you add a time slot, you are asked whether you want to replace the existing value.

Is this available for all meetings?

Yes, for all board and committee meetings in Board Portal.
