How to research a file, a document or a clause?

DiliTrust has a powerful search engine that allows you to quickly and easily find your contracts and access their key information.

It is located at the top of your screen from the home screen and your folders.


 

This search engine also allows you to perform advanced searches in order to filter your search results according to the desired conditions. For example, you can search in a few clicks for all your contracts signed with your Counterparty "X" over the last 6 months.

You can search on DiliTrust to find files, documents, clauses, while filtering your results according to the key information included on your summary sheets.

How to quickly access a folder or document from the search bar?

From the search bar, it is possible to find a folder or document by its name.

  • Type in the name of the folder or document you want to find; the search engine then displays the elements corresponding to your search;
  • Click on the folder or document you want to find; this will take you directly to the folder or document in question.

If the results presented do not suit you, refine them by accessing the advanced searches.



For more advanced searches, simply access the advanced search by clicking on advanced search at the top right of the search bar.



From the advanced searches, find 3 categories:

  • The search blocks

These blocks are the basis of your search, you determine the nature of your search:


    • Block 1: Document or file
    • Block 2: Contains/Does not contain
    • Block 3:
      • Title: Indicate the title of a document, keywords or expressions;
      • Type of document: Enter or select one or more types of documents from the drop-down list;
      • Content: Enter the desired keywords or expressions;
      • Attribute: (Duration condition, price, etc.) searched for, then specify the criteria searched for (Tacit renewal, Fixed term, etc.);
      • Clause: Enter or select a clause from the drop-down list.

  • The filters

Refine your search by adding filters to your search on :


    • Status: At what stage is the contract (in draft, in progress, expired, terminated, etc.)
    • Workflow: At what stage of the workflow is the contract (In review, validated, in signature, signed, etc.)
    • Dates
      • Enter or select the desired date type (expiration date, effective date, etc.);
      • Select date conditions:
        • "Between" allows you to select a date range;
        • "Greater than" allows you to filter on results after a given date;
        • "Less than" allows you to filter on results before a given date;
        • "Equal to" allows you to select a specific date.
    • Clauses: Enter or select a clause from the drop-down list.

  • The columns

Add columns to your search results to quickly view the attributes and clauses on your summary sheets without having to open each document.

Once you have chosen your criteria, launch the search.

 

How to change my search criteria?

To modify your search criteria :

  • The blocks

Click on the block of your choice and select another criteria.

  • The filters

To delete a filter, click on the cross in the top right corner of the filter. To change the filter, click on it and select another criteria.

After a search, you can select the desired documents and export either the summary sheet, the document, or the search result table with the columns.

Search results

Once you've completed your search, you have several options for managing your results:


  • Export results
    Select the documents you're interested in and click on Export to extract either the summary sheet, the original document or the table with search results and columns.

  • Save the search 

If you need to repeat this search in the future, save time by saving your search criteria. Once you've completed your search

  • Click on Save view
  • Name the new view and 
  • Confirm. 

            Retrieve this search by clicking on the save icon in the top right-hand corner. To delete the view, click on the recycle garbage can to its right.



  • Modify mass access rights 

Use the search function to modify your users' access rights to documents. Even with documents stored in different folders, after a search: 

  • Select the documents concerned 
  • Click on the share icon 
  • Modify access rights 
  • Confirm

When a user has mixed access, this means that among the selected documents, the user has restricted and default access.

  • Deleting documents in bulk 

Using the search function, you can delete documents from different folders in bulk. 

  • Select the documents you wish to delete 
  • Click on the delete icon 
  • Confirm your choice 

If, by mistake, you have deleted a document that should not have been deleted, you can retrieve it from the recycle garbage can tab.
