To find and export summary sheets, documents and clauses according to specific criteria, use the advanced search and download the results.

For example, you want to download all your documents or summary sheets concerning your provision services signed during the year N : use the advanced search based on the corresponding criteria and export the results.

For more information on how to use the advanced search, to find a folder, document or clause, see the dedicated article.

You can download the documents found from the result page after a search through DiliTrust's search engine.

In this article, learn how to, from search results :

Export documents and summary sheets

In the result table:

  • Select the documents to export
  • Click on Export

When multiple documents are exported, they are downloaded as a ZIP file.

  • Click on "Export" and select "Search result(s)"

Please note that the file export does not start immediately (the module works by queuing Excel exports). You will be notified by e-mail when the file is ready for download, and the e-mail will contain the link enabling you to download the Excel file.

In your export, find the attributes of your summary sheet. If these have not been validated by a user, the artificial intelligence suggestions will be displayed and marked by a little robot /helpdesk/attachments/7107430608 .

The excel files

  • Summary sheet

The summary sheets export differs from the search result export.

When you export summary sheets, the document is presented as follows:

  • Different sheets for different document types
  • For each sheet, the different documents of the same type with the elements of the summary sheet.

The first three columns are similar for all document types, and provide information on :

  • Document status (unknown, active, expired and others)
  • Type of document (contract, amendment, appendix)
  • Main contract; if the contract is linked to other documents, you will find the name of the main contract.

Clicking on the name of a document or the main contract takes you to the document in question.

The other columns correspond to the attributes and clauses present on your summary sheets. This allows you to check that the information you have entered is correct.

  • Search results

The export of search results groups together the various columns of the results table. So, when you add columns, you'll find them in the export, and the documents of your choice relating to your search will be exported.

Columns corresponding to the attributes or clauses of your summary sheets are also exported. Attributes and clauses that have not been validated by a user are accompanied by a small robot /helpdesk/attachments/7107430608 .

If you want to learn more on the exported clauses and wish to understand the downloaded Excel file, see the dedicated article.
