How to configure the access rights to the folders?

After having decided how you are going to organize your folders, and after having created them, you will need to configure the associated access rights.

You can give access rights to a document or a folder to a team or a user.

Types of access rights

DiliTrust is a tool that is based on the classic principles of sharing access rights to a folder or a folder.

When a document / folder is shared, you will need to specify whether the user / team concerned will have:


  • Default rights on folders / documents: the user can label, modify or delete information on the summary sheet depending on their role. They can modify, move, add documents in the folder, and finally they can also send documents for validation / signature.
  • Read rights on folders / documents: the user can only view / consult them within the folder.

? Note: a user who has access rights to a document / folder can also share it with any other user. He may share it in accordance with the rights he has himself. That is to say, if he has write access to the document / folder, they will be able to make it accessible to another user in default / read mode.

 


How to give access to a document / folder?

You have created a folder / uploaded a document to DiliTrust. To give access to it to your users, you need:

  • Select this document / folder, it will then be highlighted in yellow.
  • Click on the Folder Sharing icon /helpdesk/attachments/7107430673 at the top right of the screen.
  • Find the team or user you want to give access to the folder / document
    It is then added to the list of users / teams who already have access to it.
  • By default, the access rights are set on default. Depending on your needs, modify the rights indicated and configure these default or read rights.
  • Indicate whether you want users to be notified. If the "Notify by email" box, the added users / team members will be notified by email.
  • Click on Validate.



⚠️ In the case of access to a folder, when you give access to a user / a team to it, the users concerned automatically have access to all the sub-folders contained in the folder concerned.
If you do not want certain users to access certain subfolders, you will need to modify the access to the subfolders.

 

How to modify the access rights of a document / folder?

To modify the access rights, you will need to proceed in the same way as above to access the settings:

  • Select the desired document / folder, it will then be highlighted in yellow.
  • Click on the Folder Sharing icon /helpdesk/attachments/7107430673 at the top right of the screen.

You can then:

  • To remove access to a user / team: click on the X icon to the right of the desired user / team. Then click on Validate.
  • To modify the access rights and switch them from default to read or vice versa, all you have to do is select the rights as desired via the drop-down menu on this same screen. Then click on Validate.
