How do I configure the variables and free paragraph in my contract templates?

When you create a contract template to automate creating new contracts, you need to identify and set up the information that your users will need to fill in when generating the contract.

As a reminder, when creating a new contract, the user will be asked to fill in a form containing the key information of the contract and which will autocomplete the contract based on the information provided. This form is built according to the variables and free text areas that you insert in your contract.

How to set up the contract generation form?

When creating a new contract, the user must fill out a form with the key information of the contract. 
For example, in the visual below, the information to be completed is : 

  • For the company entity: Company name, Siren number, Legal representative
  • For the counterparty: Company name, Siren number, Legal representative

By completing this information, when the contract is created, it will automatically fill the contract.

In the example below, the information entered via the form appears in green:

To customize this form, you need to set up your contract template accordingly, in particular by integrating variables and free text areas, as detailed in the sections below.

 

How to insert variables in your contract template? 

There are 3 ways to include a variable in your contract template: 

  • Place your cursor where you want to add the variable, click on the Insert icon in the text editor bar, then select / search for the variable you want to insert into your text.

  • Place your cursor where you want to add the variable, click on the information included in your summary sheet on the left of the screen.

  • Select the text you want to replace with your variable, click on the Insert a variable button that appears, then select the variable you want.

⚠️ After making your changes, click Save Changes at the bottom left of your screen.

 


How to insert a free text area? 

In addition to the variables that usually correspond to one or more words, a date, an amount, etc., you also have the possibility to integrate free text areas that will be displayed as blocks of text in your contract.

 

They will be displayed in the form like this:

To embed a free paragraph in your contract, in your contract template: 

  • Place your cursor where you want to add the free text area;
  • Click on the Insert icon in the text editor bar;
  • Then choose the Insert a free text area option
    You must then indicate :
    • Paragraph title: Title of the field to be filled in by your users;
    • Form section: to which section this free text area will be attached (example: entity, counterparty, important information, etc.)
    • Question / Description: information that allows your user to understand what information is expected in this field.

After integrating a free paragraph in your document template, it appears in yellow in the body of your contract template. In addition, a corresponding field also appears in your form on the left side of your screen.
In the example above, a free paragraph "Nature of benefits" has been created. It is then found in the form on the left in the section chosen when it was created :

You can modify ✏️ or delete the settings of your free text area by clicking on the corresponding icons.

⚠️ Multilingual is not supported. You can only configure one language for your free text area.
