Your contract can be under signature outside DiliTrust for different reasons : it is being signed manually, the document was sent to signature by your counterparty, the document sent to signature through another tool ...
Follow the steps described in the article to monitor the follow-up of the signing process through DiliTrust.
By doing so, you will be able to update the document with its signed version while keeping its workflow information.
To monitor the document under signature outside DiliTrust on the platform:
- Start a workflow by:
- Uploading the document on DiliTrust
- Complete the summary sheet
- Click on the 'Workflow' tab
- Launch a personalized or a standard workflow - if needed
- Once you reach the step of setting up the sending in signature, choose the 'Manual' request for signature
- You will be invited to download the document to send it outside DiliTrust
Take notice that the document's status changed to manual signature, and you can now monitor it via the Projects tab. - A new section will appear to allow you to upload the new signed version of your contract once every party has signed it.
To upload the signed contract, click on the insert "Drop document here > import" or drag and drop your contract in the dedicated area. Your document will be updated on DiliTrust and you can now add the signature date to it.
Both elements are needed to close this step: the signed file and the signature date. After importing the signed version, enter the signature date in the "Waiting for signature" step so that the imported document is taken into account and the workflow can be completed.
By doing so, you keep the validation steps, and you can follow up on the contract being signed outside DiliTrust.
✍ Can I mix electronic and handwritten (wet-ink) signatures in one request?
This is a frequent question, so here is how signing works in DiliTrust.
- The signatory experience in an electronic signature request is fully electronic. A signatory receives the request by email and signs directly in the designated signature zones. They cannot download the document, sign it by hand (wet ink), and upload that version back into an ongoing electronic signature request.
- Fully handwritten (wet-ink) signing is supported through the Manual option described above. The contract owner exports the document, has it signed by hand outside DiliTrust, and uploads the signed version back so it stays tracked in DiliTrust. Note that with this method DiliTrust does not record the details of the signing process itself.
- A hybrid signature — some parties signing electronically inside DiliTrust while others sign by hand within the same signature request — is not supported. This is a deliberate design choice, not a temporary limitation.
Why is hybrid signing not available? Supporting it would mean combining several files into one final document (one file for the electronically signed contract, plus one file for each handwritten signature). This creates ambiguity over which document should be shown as the reference version in DiliTrust. Because this need is very rarely requested and the integration is complex, DiliTrust has chosen not to enable this option. As a result, there is no place in the interface to start a hybrid signature.
If every signature must be handwritten, use the Manual option above. If you only need electronic signatures, follow the standard signature workflow.
❓ I imported the signed version, but the drop area is still showing — did my import work?
Yes, as long as you finish the step by entering the signature date. The manual signature step needs two things to be completed: the signed file and the signature date. Until the date is entered, the step stays open and the drop area remains visible.
What you may see after importing the signed file, before entering the date:
- An empty drag-and-drop area is still displayed, with a label inviting you to import the signed version.
- The workflow history shows an "Edited" entry rather than an entry naming the imported signed version.
This is the current behavior of the manual signature step and does not mean that the import failed. To complete the process, enter the signature date under "Waiting for signature" and confirm: the signed version is then taken into account and the workflow is completed. You do not need to import the file a second time.
To confirm which document is stored on the contract, open the document's version history and check that the signed version is listed.
