What are the contract statuses ? How to change them ?

DiliTrust CLM module is a tool that allows you to easily manage and track your contracts.

In order to facilitate their monitoring, the contracts show statuses:

  • During the contracting phase, their status in the process of creating and negotiating the contract.
  • After signature, their status according to the contract life cycle post-signature.

View the status of my contracts

  • In the "Folders" view

The contract statuses are visible when you browse your files in a dedicated column.

It is possible to customize the columns in this Folder view (add / remove some). To learn more, see the dedicated article.

 

  • In the "Document" view

When opening a contract, its status is visible at the top left, next to the document title.

 

  • In the "Statistics" view

In the Statistics section, a graph shows the status of the contracts and allows you to view the number of contracts by status.

Understanding the status of contracts

During the contracting phase in DiliTrust

To learn more about drafting contracts in DiliTrust, see the dedicated article.

During this upstream phase, the statuses are automatically updated according to the phase of the process where the contract is located. No manual status update is necessary.

The statutes are:

  • Drafting: The contract was created on DiliTrust and is being drafted.
  • Proofreading X/Y: The contract was sent for proofreading on DiliTrust to Y proofreaders in total, and it was proofread by X proofreaders.
  • Proofreading completed: The contract has been proofread and validated by the proofreader(s).
  • Validation X/Y: The contract was sent for validation on DiliTrust to Y validators in total, and it was validated by X reviewer.
  • Rejected: The contract has been reviewed, but rejected by one of the proofreader / reviewer.
  • Signature X/Y: The contract was sent for signature on DiliTrust to Y signatories in total, and it was signed by X signatories.
  • Signed: The contract has been signed, but the information to update its lifecycle status has not been completed (see below).


 

After signing or when I submit an already signed contract in DiliTrust

Once the contractualization phase is over, the statutes are then linked to the life of the contract according to its deadlines.

The statuses are therefore updated automatically by DiliTrust according to the dates entered in the summary sheet and the current date.

A contract uploaded on DiliTrust for which the summary sheet has not yet been completed with regard to its key dates shows the status "Not determined".

 

The contracts can have the following statuses:

  • Not started: when the effective date is in the future, the contract has not yet started;
  • Pending: when the effective date of a contract is earlier than the current date, but it has not yet expired, the contract is therefore in force;
  • Expired: when the expiration date of the contract has been reached, therefore, the contract is no longer in effect;
  • Undetermined: The contract does not have an effective date, therefore the system is not able to deduce whether the contract is in force or not.
  • Terminated: Attribute added to the summary sheet as a Yes or No list. When Yes is selected, the document's status changes to Terminated
  • Archived: Attributed added to the summary sheet as a Yes or No list. When Yes is selected, the document's status changes to Archived

The status is based only on the effective date and the expiration date, as well as these two attributes (terminated and archived), any other date will not be recognized by the AI and therefore will not affect the status of the contract.

  


Modify contract status

As the contract status is updated automatically based on its lifecycle on DiliTrust, it cannot be changed manually.
If the status is false and must be changed, the dates entered are incorrect. It is then necessary to modify the effective and expiration dates.
After modifying these dates, the system will automatically update the contract status accordingly.

 

The statuses are also displayed taking into account the AI's suggestions, even if the dates have not yet been validated.
In some cases, therefore, the contract status may be wrong, in the event that the AI's suggestions are not relevant. In this case, it is possible to delete these suggestions related to the effective date and / or expiration date so that the status does not take it into account.

 

Finally, in some cases, with regard to the "Expired" status, the system does not recognize the tacit renewal that may exist in the contract, so it will assume that the contract has expired, but the contract may actually be in progress.
