How to store the different versions of a document via DiliTrust?

Would you like to keep the different versions of your contracts in DiliTrust?

The management of the different versions of contracts (versioning) is managed in part automatically by DiliTrust, and you also have the possibility of importing yourself the versions that you would like to keep.

You can then access the history of your different versions, and easily compare them in DiliTrust to view the changes made.

Access the different versions of your contract.

To access the different versions available and the comparison tool:

  • Open the desired contract,
  • Click on the history icon, to visualize the different existing versions.

You will then be able to view the different versions of your contract, if there are several.

 


 

The different versions are as follows:

  • A sub-version of the document is saved when an internal proofreading is started (version 1.1, version 1.2, etc.);
  • A new version of the document is saved when a new version of the contract is imported to DiliTrust (version 1, version 2, etc.)
  • A new version of the document is also saved when you make changes through Word

⚠️  Note that, if your document is in redaction mode, you will not be able to see it in the comparison module.


You can rename your different document versions, to differentiate them more easily.

Double-click on the name of the version and enter the new name.


At any time, you can restore a previous version. Restoring a previous version creates a copy on which you will be able to work or launch a workflow.



Automatic management of contract versions by DiliTrust

The automatic management of contract versions only applies to contracts drafted directly in DiliTrust, therefore to contracts generated from "Draft new", or to contracts that were stored at least once in DiliTrust.

When a contract on DiliTrust is downloaded and re-uploaded, a pop-up window will appear to ask whether it is a new version of the document already stored on DiliTrust, or if it is a new document.



  • If it is a new version of a document, click on Yes. The document will automatically be updated with its new version in the right folder.
  • If it is a new document, click on No. The new document will not be imported immediately, as DiliTrust will transform the content of your document into usable text and our Artificial Intelligence will analyze its content.

Once imported, you can see the previous version and compare it with the new version imported directly from your document.

When a contract created on DiliTrust is sent for Review, DiliTrust automatically generates a new version, giving you the possibility to access the previous version and compare it with the new version.

So if the Reviewer makes changes directly in the document editor via DiliTrust, you will be able to compare the different versions and follow the changes made to the document.

Import a new version of a contract into DiliTrust

At different stages of the Review and Validation workflow, if the document is rejected, you will be prompted to add a new version of the contract.

In the example below, the contract was sent for Validation, but was Rejected by the validator. The version having been rejected, you are then invited to edit or import a new modified version following any remarks made by the validator.

Comparing different versions of the contract

By accessing See version history, you will be able to select one of the previous versions available and click on Compare to the latest version.


In your document on the left will automatically display all the modifications made to the document compared to the selected version. The comparison is made between the latest version to date and the one selected.

The changes appear as follows:

  • In yellow, the modifications
  • The blue modification panel at the allows you to quickly find the differences in the documents
